Get to facts fast and put it in writing. Ask for completion status against the specific deliverable and a revised date with reasons, escalate to their account owner if the answers stay vague, and check what the contract says about remedies. In parallel, re-plan your side assuming they slip further, because hope is not a mitigation.
Why interviewers ask this
Vendor management is a distinct skill and this tests whether you have commercial teeth. Interviewers listen for written communication that creates a record, escalation on the vendor side rather than only internally, familiarity with the contract, and parallel contingency planning. Candidates who describe only chasing and rescheduling calls have never had a supplier fail on them in a way that mattered.
How to structure your answer
- Replace vague updates with specific questions in writing.
- Escalate to their account owner if answers stay woolly.
- Read the contract for remedies before the next conversation.
- Re-plan your side assuming a further slip.
Example answer
Vague updates are the signal, so I stop accepting them immediately. I go back with specific questions: which deliverables are complete against the acceptance criteria, what is the revised date, and what specifically is causing the delay. If the answers stay woolly after one round, I escalate on their side, usually to the account manager rather than my day to day contact, and I do it in writing so there is a record. I also go and read the contract, because knowing what the remedies and service credits are changes how the conversation goes even if you never use them. In parallel I re-plan my side assuming they slip further, because hoping is not a mitigation. On one delivery we pulled two dependent workstreams forward and pushed the vendor integration to the end, which bought about three weeks of tolerance that we ended up needing.
