Thank-You Email

What it is, why it matters for you as a candidate, and how to prepare for it.

Definition

A thank-you email is a short note sent to interviewers within about 24 hours of an interview, thanking them for their time and reinforcing your interest and fit. It is standard etiquette in US hiring and less universal elsewhere. It rarely wins a job by itself, but it keeps you visible during a decision and can repair an answer you handled badly.

What Thank-You Email means in practice

The convention is a short message, usually 100 to 200 words, sent to each interviewer individually within a day and referencing something specific from that particular conversation rather than a template. If you do not have addresses, send it to the recruiter and ask them to pass it on. What works: thanks, one line on why the role fits given what you learned, one specific callback to your discussion, and optionally a brief correction or addition to a weak answer. Some hiring managers read them before the debrief; others never open them. In the UK and much of Europe it is less expected but not unwelcome.

Why it matters for candidates

The upside is asymmetric: it costs ten minutes and occasionally lands in the exact window when a hiring team is deciding between two people. It is also the only sanctioned second chance to fix a weak answer, in a paragraph you can actually think about first. The downside only appears when it is done badly, so avoid a form letter sent to five people, a long essay, or anything that reads as pressure.

How to prepare

  • Send within 24 hours, individually, to each interviewer.
  • Reference one specific thing from that particular conversation.
  • Keep it under 200 words.
  • Add two sentences fixing any answer you fumbled.
  • Restate your interest plainly, then stop; do not chase a decision.

How it typically plays out

After a panel, a candidate sends three separate notes. To the engineer, a line about the caching problem they discussed plus a link to a short write-up of the approach that came up. To the manager, a sentence on why the team's roadmap matches what they want to work on next. To the recruiter, thanks plus availability for the next step. All three are under 150 words and go out the same evening.
